Insight Vacations

WHAT'S INCLUDED IN THE TOUR PRICE

Inter-city Travel: By private motorcoach, trains & ferries (see itineraries).

Touring: By air-conditioned luxury motor coaches with onboard washroom & reclining seats for maximum comfort.

Note: In Eastern Mediterranean and Iceland, some smaller motor coaches without toilet facilities may be used. If, due to circumstances beyond our control, coaches are used on tours other than as advertised on the itinerary page, a refund of $10 per person will be made.

Air Transportation: Within Europe air transportation is included in the land price only when indicated on an itinerary.

Note: Reservations for Insight’s Egyptian airline are given well in advance, however actual flight times cannot be confirmed prior to departure. Internal flights in Egypt may involve very early or very late departures and arrivals.

Hotel Accommodation: Prices per person are based on two persons sharing a twin-bedded room with private bath or shower.

Cruise: Per person prices are based on two persons sharing a cabin with two berths, private shower & toilet. A limited number of singles cabins are available on request at an extra cost.

Tour Director: Escorted tours are conducted in English only by a professional multi-lingual Tour Director. In Egypt and Greece, only tours of 10 people or more will be escorted by an Insight Tour Director.

Meals: In-flight meals & snacks are served according to airline policy. Continental or buffet breakfast as indicated on all tours except in Ireland, provincial Britain & Scandinavia, where full national style breakfasts are served. Dinners are included as detailed in itineraries. All meals are included on cruises.

Sightseeing: Excursions & entrance fees to places of interest visited as detailed on each itinerary with an English-speaking guide where necessary.

Transfers: Passengers will only be entitled to transfers to and from London Airports providing the following conditions have been met:

  1. You must be staying at the London tour hotel, booked by Insight, on the night of your arrival and the night before the date of your departure flight.
  2. Flights booked directly with Insight. For those who choose to make their own flight arrangements, flight details must be provided and a fee of $25 per person round trip must be paid at time of booking for entitlement to the scheduled transfers. Once transfers are booked they must not be changed.
  3. In the event of flight delays outside of Insight's control, the transfers will be deemed to be canceled.
  4. Only one inbound and one outbound transfer per tour booked is included by Insight.
  5. All transfers are based on group transfers; therefore, no refund is available for missed transfers or for passengers not utilizing this service.
  6. Inbound transfers operate from 6:00 am – 9:30 pm at London Heathrow and 6:00 am – 12:30 pm at London Gatwick. Outside of these times are at passengers' own expense.
  7. Outbound transfers are timed to connect with scheduled flights departing from Heathrow or Gatwick between 8:00 am - 11.00 pm. Outbound transfers for departing flights outside of these times are at the passenger's own expense.
  8. In the event of unforeseen events (road work, demonstrations or such like), Insight cannot be held responsible for delayed transfers.

European Transfers:

  1. Transfers only operate at the scheduled times and days specified for each tour departure.
  2. Flights booked directly with Insight. For those who choose to make their own flight arrangements, flight details must be provided and a fee of $25 per person round trip must be paid at time of booking for entitlement to the scheduled transfers. Once transfers are booked they must not be changed.
  3. Your flights should be timed to allow you to clear customs in good time for the scheduled transfers-- your Vacations To Go travel counselor will advise you of the most appropriate arrangement.
  4. As these are group transfers, in the unlikely event of a missed transfer through flight delays outside Insight's control, passengers will need to make their own alternative transfer arrangements at their own expense.
  5. Complimentary transfers are given in exchange for a voucher.
  6. In the unlikely event that passengers who have booked their Land & Air with Insight can only be booked on flights which arrive outside the scheduled times, transfers will still be provided for them. Passengers who make their own alternative transfer arrangements do so at their own expense.

Athens, Cairo, Istanbul and Tel Aviv Transfers: Complimentary transfers operate at all times, provided Insight has received correct flight information for both arrival and departure at time of booking your tour.

  • Only one arrival and one departure transfer per person is included
  • No refund will be given for unused transfers. Transfers cannot be routed to other pick-up points or destinations other than those booked. Transfers are non-transferable to other people.
  • Complimentary transfers are given in exchange for a voucher.

Porterage: Baggage handling for one suitcase per person on tour and for arrivals/departures from each tour hotel is included in the tour price. Due to limited coach capacity this single bag should have a weight not exceeding 60 lbs. And dimensions not exceeding 30” X 18” X 10”. Charges will be levied in the event these limits are exceeded and Insight’s commitment to transport you as indicated may be invalidated.

Note: Airlines may restrict check-in baggage. Please check with your carrier.

Tips and Taxes: All tips are included for services on tour provided by dining room waiters, chambermaids & porters at hotels, airports, docks & stations and to the crew on Nile cruises.

WHAT'S NOT INCLUDED IN THE TOUR PRICE

Transatlantic airfares (on Land-only tours), airport taxes, passport & visa fees, insurance of all kinds, laundry, phone calls, beverages, meals not detailed in the itinerary, tips to Tour Directors, motor coach drivers and local city guides, items of a personal nature, excess baggage, optional excursions.

Air & Land Prices: Airport and departure taxes, security, agricultural and customs fees are not included.

Note: In Egypt, service charges (of up to 33%) will be levied on all additional services, meals, beverages, etc. not included in the tour price. This service charge will be applied on your hotel bill at the time of checkout.

GENERAL INFORMATION AND CONDITIONS

Tour prices: Are based on costs & exchange rates as of September 25, 2003. Should these costs change a surcharge may be made on the price of your vacation. If the total tour price increases by more than 10%, passengers will have the right to cancel within 7 days of notification of the surcharge without penalty. No surcharges with respect to cost or currency fluctuations will be made once payment for the deposit of your land tour is received. This guarantee excludes fuel surcharges & does not apply to any taxes, charges or levies imposed by any government or its agencies. In exchange for these guarantees no refund will be made if costs are reduced. All prices are in US $ unless otherwise specified.

Child Reductions: Child reductions are available on selected tours. Some restrictions may apply. Please call your Vacations To Go travel counselor for details.

Teen Reductions: Teen reductions are available on selected tours. Some restrictions may apply. Please call your Vacations To Go travel counselor for details.

Tour Participation: Children under 5 years of age are ineligible. Passengers with disabilities are welcome on Insight's tours providing they are accompanied by a person capable of providing all assistance required, and do not require special assistance from Insight personnel. Insight reserves the right to refuse to carry anyone it feels cannot cope with the requirements of coach tour travel and who may require services and facilities that Insight cannot guarantee will be available. You agree to not hold the Insight group of companies responsible for any decision made by any of them or any service provider to refuse to carry you, provide any facilities or accommodation to you or to provide any services to you. Please note that wheelchair access on the Nile cruise boats is limited; please check with your Vacations To Go travel counselor for details. Insight reserves the right to withdraw tour membership from anyone whose behavior is deemed likely to affect the smooth operation of the tour, or adversely affect the enjoyment or safety of other passengers, and Insight shall be under no liability to any such person for refund, compensation, repatriation or any other matters arising.

Itinerary Variations: Insight constantly strives to improve tour itineraries & features. If such improvements can be made, or unforeseen circumstances beyond their control make changes necessary, Insight reserves the right to vary itineraries and to substitute hotels. At certain peak periods duplicate departures may operate, sometimes in reverse, in which case hotels may vary from those stated on the tour pages. Due to religious festivals or other reasons it will occasionally be necessary to rearrange some itineraries and hotels. Ports of call on Mediterranean cruises may sometimes be curtailed if weather conditions do not permit docking.

Tour Cancellation: Insight reserves the right to cancel any booking no later than 30 days before the departure, but Insight will, wherever possible, offer an alternative tour of similar standard. If there is a difference in cost, this will be for your account. If an alternative tour is not accepted by the tour participant within seven days, Insight will refund all monies and will be under no further obligation or liability. Please note that Insight Vacations is not liable for any cancellation penalties incurred on air tickets purchased separately from the 'Air and Land' inclusive package.

Insight is not responsible for any other travel arrangements affected due to cancellations.

Extended Stays: If you have arranged with Insight to remain at a destination after the termination on your tour, please understand your tour will be at your sole expense as is the transfer to the airport for your return flight.

Once you have paid your deposit in full, the land tour price confirmed to you by your Vacations To Go tour counselor is guaranteed (excluding fuel surcharges and government taxes).

RESERVATIONS AND PAYMENT

Vacations To Go accepts Visa, MasterCard, American Express, and Discover. Your payment is not deemed made until it is received by Insight Vacations.

A non-refundable deposit of $200 per person per tour is required for Insight to hold seats for you.

The deposit forms part of your final payment and if not received within 7 days of booking, the reservation will automatically be cancelled. On certain departures, deposits may be required to hold seats at time of booking.

The final payment is due 45 days prior to departure.

Insight reserves the right to cancel the reservation and impose cancellation charges should payments not be received within the above specified periods.

TRAVEL DOCUMENTS

Your tour documents, travel literature, wallet, travel bag & comprehensive pre-departure documentation will be sent to you prior to departure. Please read this information carefully as it contains essential information & helpful advice to make your vacation as enjoyable as possible.

BOOKING CHANGES, CANCELLATIONS & REFUNDS

Booking Changes: A fee of $30 per transaction will be charged for any revision or alteration made to a reservation after booking is confirmed.

Note: Cancellation fees will be charged if you cancel your entire tour package to reschedule for a different date.

Cancellations and Cancellation Fees:

  • If notice of cancellation is received by Insight Vacations 45 days or more prior to departure, the non-transferable, non-refundable deposit will be retained.
  • If full payment is not received 45 days prior to departure the Airline has the right to cancel your Air reservation. Regrettably, if payment is not received, Insight will not be responsible for lost reservations.
  • Notice of cancellation must be made in writing either directly to Insight or through your Vacations To Go travel counselor.
  • The following scale of charges will apply when notice of cancellation is given after the booking is confirmed:
    • 45+ days prior to departure: the non-refundable deposit
    • 45-22 days prior to departure: 25% of total price
    • 21-8 days prior to departure: 30% of total price
    • 7-1 days prior to departure: 50% of total price
    • Day of departure/No show: 100% of total price
    Please note: The definition for departure is the first start date indicated on Insight’s confirmation.
  • Airline Flights: If flight changes are requested after the deposit has been received, a US $30 amendment fee will be applicable. If flights are cancelled after tickets are issued, change fees or airline penalties will apply. Bookings made with promotional pricing may be subject to additional cancellation or change fees.
  • These cancellation fees also apply to additional accommodation reserved prior to and after the tour.

Refunds and Penalties:

  • Illness or Absenteeism: In case you have to withdraw from a tour after it has begun for reasons such as illness, be sure to obtain a medical certificate in support of any insurance claim. Insight regrets that no refund can be made for absences from a tour, including but not limited to, missed meals or sightseeing. If a promotional airfare is broken or extended for any reason, an additional fare may be payable.
  • Air & Land Packages: These packages are based on non-refundable airfares. If flight changes requested after the deposit has been received, or if flights are cancelled after tickets are issued, change fees or airline penalties will be applicable.
  • Airline Seating: Tour members are requested to contact the Airline(s) for seating arrangements 30 days prior to departure. Seating is solely under control of the Airline. Flight delays are the sole responsibility of the Airline.
  • Airline & Airport Taxes and Charges: All taxes, security charges, any other type of taxes or charges imposed by Airlines, Airports, Government, etc. are not included in the tour price. UK air passenger duty is not included in the transatlantic fares.
Note: If a promotional airfare contained in your tour is broken or extended for any reason an additional cost may be incurred. Airfares are subject to change at any time. Changes to flight itineraries and name changes may result in penalties charged by the Airline concerned and passed on to the passenger.

BEFORE YOU JOIN YOUR TOUR

Passports & Visas: All passengers require a machine-readable passport and it is the responsibility of each passenger to have a passport valid for the entire duration of their trip, including appropriate visas. Multiple-entry visas are needed for some countries. Please contact applicable government authorities to get necessary travel information.

The operators and/or their servants and agents are not responsible for passport, visa requirements, entry, health or other requirements of the countries visited or for any loss sustained by you for failing to comply with laws, regulations, orders, and/or requirements of countries visited.

Travel Documents: Please read the documents and tour literature which are sent to you, in an attractive wallet, before departure – they contain a wealth of advice and essential information to make your vacation as enjoyable as possible.

Holidays & Changes: During local or national holidays abroad, certain facilities such as museums, sightseeing tours and shopping may be limited. In such instances, and whenever possible, slight itinerary adjustments are made by Insight Vacations to minimize inconvenience to their passengers. If, however you feel your enjoyment might be diminished by such minor limitations please check with the respective national tourist office before selecting a specific departure. Similarly holidays, closing days and other circumstances may necessitate a change of the day of the week for scheduled “dining out”, gala dinners, sightseeing or other activities.

Walking Tours: A number of cities in Europe are developing as havens for pedestrians and many of Insight's tours feature special walking tours in these locations. Comfortable walking shoes are therefore recommended for all passengers.

Air Conditioning: Please be advised that foreign air conditioning systems in public places, ships, hotels, and motorcoaches are not up to USA standards.

Plan Your Budget: You are advised to do this well in advance and be sure to allocate funds for special events while on tour, such as theatre, celebration meals, shopping and side trips, and Additional Optional Tours.

RESPONSIBILITY

Insight Vacations Inc., referred to as the Operator, is the agent for Insight Vacations, who has empowered the Operator on its behalf to undertake the following duties:

  1. The Operator shall be responsible to the passenger for supplying the services and accommodations described in each itinerary, except where such services cannot be supplied or the itinerary used is changed due to delays or other causes of whatever kind or nature beyond the control of the Operator. In such circumstances, the Operator will do its best to supply comparable services, accommodations and itineraries and there shall be no refund in this connection.
  2. The itinerary, along with all terms and conditions set forth here, represent the entire agreement between the passenger and the above mentioned Operator.
  3. In the absence of its own negligence, neither the Operator nor its agents or cooperating organizations shall be responsible for any cancellations or for acts of any other service providers concerned, diversions or substitution of equipment of any act, variations, postponements, omission or default whatsoever by air carriers, land carriers, hoteliers or hotels, transportation companies, or any other persons providing any of the services and accommodations to passengers including any results thereof, such as changes in service, accommodations or facilities necessitated by same. Nor shall they be liable for any loss or damage to baggage or property, or for injury, illness or death, or for any damages or claims whatsoever arising from loss, negligence or delay from the act, error, or negligence of any person not its direct employee or under its exclusive control, including any act, error, or negligence of any country, government or governmental authority, officer or employee. All baggage and personal effects are at all times and in all circumstances at the risk of the tour participant. Baggage insurance is recommended. The Operator is not responsible for any criminal conduct by third parties.
  4. Where the passenger occupies a motorcoach seat fitted with a safety belt, neither the Operator nor its agents or co-operating organizations or service providers concerned will be liable for any injury, illness or death or for any loss or damages or claims whatsoever arising from any accident or incident, if the safety belt is not being worn at the time of such accident or incident.
  5. Transportation companies, airlines, etc. are not to be held responsible for any act, omission or event during the time passengers are not on board planes, transportation or conveyances. The passenger contracts in use by the airlines or transportation companies when used shall constitute the sole contract between the airline, transportation company and passenger or purchaser of this tour and the Operator assumes no responsibility in this connection. Enrollment in, and payment for, a tour shall constitute agreement and acceptance by the passenger of the terms and conditions set forth here which cannot be varied except in writing by an officer of the Company.
  6. All matters concerning your booking shall be subject to the Laws of the Commonwealth of Massachusetts and legal action arising under the Contract shall be litigated only in the appropriate Court having jurisdiction in that State, which Court both parties acknowledge to have exclusive jurisdiction in relation to any legal action brought hereunder.
  7. Every effort is made to ensure accuracy; however Insight cannot be held responsible for printing or typographical errors, or errors arising from unforeseen circumstances.

OTHER CONDITIONS

It is the responsibility of the passenger to comply with the terms, conditions or requirements of any service provider, or any country or governmental authorities, or to bear any costs or losses incurred as a consequence of you not complying with them.

ADDITIONAL OPTIONAL TOURS

There is an exciting array of "Additional Optional Excursions" available to further enhance your enjoyment of Insight tours. These Excursions are optional, and are offered at special preferential prices. They are only bookable once you start your tour, as many of them are carefully programmed to coincide with the best highlights available at the time of your visit. A detailed list and cost of many exciting options is included in your tour documentation. You can book and pay for them through your Tour Director.
